Organising your event 8 questions

1What types of event can OxygenStream handle?

Mainly corporate and institutional events, but not only.

  • Corporate: conferences, seminars, conventions, product launches, training sessions
  • Institutional: congresses, general meetings, round tables, institutional events
  • Online: webinars, hybrid events
  • Culture and sport: sporting events, concerts, shows
  • Exceptional conditions: live streaming from a moving car, for PSA

The set-up is adapted to the size of the event, the venue, the number of speakers and the expected audience, whether in person, remote or hybrid.

2What is the difference between an in-person, hybrid and 100% digital event?

An in-person event brings participants together in one place and can be filmed or streamed live. A hybrid event combines an audience on site with viewers or speakers joining remotely. A 100% digital event is produced and followed entirely online, from a studio or remotely. OxygenStream handles all three formats.

3Do you offer a turnkey service or only technical services?

Both are possible.

Turnkey: we take care of the whole chain.

  • Video production
  • Live directing
  • Sound
  • Lighting
  • Internet connection
  • Streaming
  • Replay

À la carte: we only handle part of your project. You choose only the services you need.

4In which cities and countries do you operate?

OxygenStream is based in Paris and Grenoble and travels throughout France and internationally, with mobile video control rooms. We work in companies, hotel rooms, conference centres, studios, outdoors or in unusual venues. For example, we have streamed international conventions in Madrid, Barcelona, Cancún, Miami and Rome.

Learn more: Projects and referencesAbout

5How far in advance should a live event be prepared?

It depends on the format and the technical constraints.

  • Simple filming: little preparation
  • Multi-room congress, multilingual live event, international multiplex: allow more time for the site survey, network tests and rehearsals
  • In an emergency: we can deploy the next day, in under 24 hours, and we have already filmed and streamed live on the same day (exceptional, depending on conditions)

The earlier you contact us, the smoother the preparation. Get in touch: we will look at what is possible.

Learn more: Contact us

6How is an event prepared, and is a site survey needed?

Preparation takes place in four stages.

  • Discussion: programme, venue, number of speakers, audience and materials to be broadcast
  • Coordination: we always hold a meeting with the venue’s technicians or the other providers on site, so that everything works together
  • Set-up and site survey: we define the technical set-up; for complex set-ups, a prior site survey checks the network, power supply, camera positions and the constraints of the venue
  • Follow-up: a dedicated project manager coordinates everything with you, in French, English or Spanish

7Do the people being filmed have to give their consent?

Yes, as soon as a person can be identified in the footage.

  • Speakers: their consent is required to be filmed and for their image to be broadcast, use by use: live, replay, clips, promotion
  • Audience: a wide shot in which nobody is recognisable is generally not a problem; however, as soon as an attendee can be identified (close-up, speaking into a microphone), their consent is required
  • Minors: the consent of their legal guardians is required
  • Information: attendees must be told that they will be filmed, for example by a notice at the entrance or on the invitation

Collecting consent is the event organiser’s responsibility.

THE IMAGE RIGHTS KIT

We provide a ready-to-use kit, to complete online and then print for signature:

  • Adult authorisation: each person ticks the uses they accept: live, replay, clips, promotion
  • Minor authorisation: signed by the legal guardians
  • Information poster: to put up at the entrance to the room
  • Information notice: to give to each person before they sign
  • User guide: the steps, and points for the organiser to watch

You enter the event details once, then print as many copies as there are people filmed.

Learn more: Contact us

8What happens if someone refuses to be filmed?

Their choice is respected, and a solution is sought with the organiser.

  • Before the event: each person ticks, use by use, what they accept: an empty box means a refusal for that use
  • On the day: the audience is informed by the poster at the entrance, and can tell reception before filming starts
  • In the room: depending on the set-up: seating out of frame, an adapted shot or an unfilmed area
  • Afterwards: a person can withdraw their consent for the future, through the organiser’s contact

General meetings 2 questions

9Can you film and stream a general meeting?

Yes, general meetings are among the events we film regularly.

  • Filming: multi-camera and live directing
  • Sound: for the room and for remote participants
  • Streaming: public or with secure access
  • Recording: replay made available
  • Participation: moderated Q&A and interactive polls. The official vote of shareholders follows its own rules, to be defined with you

For some listed companies, broadcasting is even mandatory (see the next question).

Learn more: Dedicated streaming platformEvent audio, sound and lighting

10Is broadcasting a general meeting mandatory?

Yes, for companies whose shares are admitted to trading on a regulated market.

  • Live: audiovisual broadcast of the whole meeting, with the arrangements stated in the notice of meeting
  • Recording: audiovisual and digital, kept by the company
  • Replay: available on the company’s website no later than 7 working days after the meeting, for at least 2 years
  • Incident: a major technical problem is recorded in the minutes

This requirement has been in force since 14 September 2024 (French law of 13 June 2024, articles L. 22-10-38-1 and R. 22-10-29-1 of the French Commercial Code). It does not automatically apply to companies listed on an unregulated market. We can handle the technical services for this broadcast and for making the replay available, according to the requirements of your meeting.

Video production, sound and live directing 7 questions

11What is the difference between video production and live directing?

Video production means filming the speakers and the moments of the event with one or more cameras.

Live directing means choosing the shots, managing transitions and bringing in presentations, videos, titles and remote speakers at the very moment of broadcast. It works like a television programme: a director, in the control room, composes the picture in real time.

The two services can be combined or offered separately.

Learn more: Video productionLive directing

12How many cameras are needed to film a conference or round table?

It depends on the number of speakers, movement on stage, the look you want and the budget.

  • One camera: is enough for a simple talk. Some general meetings, which simply want to meet their legal obligations, choose this basic service: a single wide shot for all the speakers
  • Two cameras: the most common set-up: a wide shot and a close shot on the speaker. This is the minimum for varying the shots and keeping the direction clean, with no camera movement during the live broadcast
  • Three cameras or more: to alternate between more types of shot (see the next question)

We size the filming after studying your programme, the room, your wishes and your budget.

Learn more: Video production

13What are the different cameras used for?

Each camera has its role and lets us alternate between types of shot. For example, with several speakers:

  • Wide shot: a camera on the whole stage
  • Close-up: a camera on the person speaking
  • Medium shot: another camera on the people who may reply or who are waiting to speak
  • The audience: a camera on the room, to capture reactions and questions
  • Objects and demonstrations: a camera dedicated to close-ups of a product, an object or a demonstration
  • Moving cameras: on a slider, a crane or handheld, directly on stage: they bring movement and life to the direction, depending on what is happening on stage

Learn more: Video production

14What is the difference between a PTZ camera and a camera with an operator?

Both have their strengths, and we often combine them.

  • PTZ camera: motorised and remotely controlled. More discreet, it disturbs the audience less, and the direction is quicker thanks to framings memorised in advance
  • Camera with an operator: freer tracking, ideal when speakers move around a lot
  • Budget: PTZ equipment costs more, but the difference is made up from three cameras onwards: a single operator controls them, whereas three conventional cameras and a fixed one need two camera operators

We choose according to the set-up, the look you want and the budget.

Learn more: Video production

15Can PowerPoint presentations, videos and speakers’ names be shown during the live broadcast?

Yes, everything can be shown in the live broadcast. Our control room brings in your PowerPoint or PDF presentations, your videos, jingles, logos, name captions and graphic packages.

Most often, we show the speaker next to their slides, using a custom screen composition (a “template”), designed and approved with you before the event. We can also build other multi-window screens and adapt the graphics to your brand guidelines.

Remote speakers and other sites also appear in a dedicated layout.

Learn more: Live directing

16Can you provide microphones, sound and lighting?

Yes, we provide sound and lighting.

  • Microphones: lavalier, headset, handheld and table microphones
  • Discussion units: a microphone and a small loudspeaker built into each unit, ideal for large meetings where many participants sit around a row of tables
  • Sound system: mixing and room sound reinforcement
  • Lighting: LED spotlights, softlights, stage lighting, suited to faces, scenery and cameras

For a hybrid event, we prepare separate mixes for the room, the stream, the video conference and the recording.

Learn more: Event audio, sound and lighting

17What equipment do you use?

Broadcast-quality equipment.

  • Cameras: Sony, Blackmagic, Panasonic; depending on needs, PTZ cameras, cranes, sliders or drones
  • Production switchers: vMix, ATEM, OBS
  • Audio: microphones and equipment from brands such as Shure and Sennheiser
  • Formats: Full HD, 4K or vertical for social networks

Live streaming and technical reliability 5 questions

18On which platforms can you stream an event live, and on several at once?

We stream where your audience is, depending on your set-up.

  • Dedicated platform: a streaming space in your colours: we build a custom web page, or we use our OxygenEvent platform (oxygenevent.fr)
  • Social networks: YouTube, LinkedIn, Facebook…
  • Internal tools: Microsoft Teams, your internal streaming server…

Whichever solution you choose (dedicated platform, social network or internal tool), we can embed it directly on your website. The choice depends on the target audience, confidentiality and the interactive features you want.

You can also stream on several platforms at the same time: this is multistreaming, for example to a private platform and to social networks. We prepare the feeds, adapt the picture format to each destination and monitor each one throughout the broadcast.

OXYGENEVENT

OxygenEvent (oxygenevent.fr), our interactive live event platform, brings together on a single page in your colours:

  • The live stream: your embedded video player, with a countdown
  • Audience questions: with moderation
  • Live votes: displayed over the video
  • Feedback and documents: satisfaction questionnaire, documents to download
  • Statistics: real-time audience

Access is set up à la carte (form, registration, personal invitations or direct access), and everything works on a phone, with nothing to install.

Learn more: Dedicated streaming platformAdditional servicesOxygenEvent

19How many viewers can watch the live stream at the same time?

OxygenStream adapts its streaming infrastructure to the number of viewers expected.

  • Small group: a few dozen participants
  • Large audience: several thousand people

We use professional video distribution solutions, notably CDNs (Akamai, IBM, Amazon), networks of servers spread around the world that deliver video to a very large number of viewers, to size the broadcast to your audience. Give us your estimate of the number of participants from our first discussion.

Learn more: Dedicated streaming platform

20What Internet connection is needed to stream live?

For a reliable broadcast, the essentials are a wired, stable connection with sufficient upload speed. Consistency matters more than the advertised speed: a hotel that advertises a high speed can mislead you if the connection is shared with all its guests, because it will fluctuate.

  • Standard fibre (FTTH): consumer-grade, shared fibre: it can suit a professional stream, provided it offers sufficient and stable upload speed
  • Business fibre (FTTE or FTTO): aimed at companies, it can offer additional guarantees of speed, availability and repair time. FTTO is a line dedicated to your site, particularly suited to demanding events
  • RENATER network: the French national network for higher education and research: universities and institutions connected to it benefit from very high-speed infrastructure. Using it for an event stream must be authorised by the institution’s IT department
  • Backup link: depending on the venue and the importance of the event, we can provide multi-SIM 4G/5G bonding, a satellite link, Starlink, etc., or deploy a temporary connection

Before each event, we assess the performance of the connection, any network restrictions and the safeguards needed.

Learn more: Additional services

21Can you stream without fibre or with a poor Internet connection?

Depending on the venue, yes. We deploy temporary connections: temporary or dedicated fibre, bonding of several 4G/5G networks, satellite or Starlink for areas with no coverage, with redundancy between connections. The solution is chosen after checking the constraints of the site and the network coverage.

Learn more: Additional services

22How do you protect a stream against technical problems?

Protection starts before the day itself and continues throughout the live broadcast.

  • Before: tests, network checks, identifying weak points
  • During the live broadcast: constant monitoring of the video and audio signal, bitrate and latency
  • Against failures: depending on the importance of the event, redundant connections, uninterruptible power supplies to keep going through a power cut, and a second backup stream running in parallel

And to avoid losing anything? Most of the time we make a double recording, locally and in the cloud. This is not what keeps the live broadcast running, but a backup: it lets you keep your content if the Internet connection fails or a piece of equipment breaks down.

Streaming platform, security and interactivity 5 questions

23Why choose a dedicated streaming platform rather than a simple YouTube link?

A dedicated platform brings together in one place the live stream, your visual identity, the programme, the speakers, the documents and the interactive tools, with access control and audience statistics. A public stream on YouTube can suit some events: the right choice depends on your goals.

Learn more: Dedicated streaming platform

24Can the streaming page be fully customised?

Yes, the streaming page reflects your identity.

  • Brand guidelines: logo, colours, typefaces and visuals
  • Content: custom session pages
  • Hosting: on a dedicated page or embedded in your site
  • Screens: display adapted to computers, tablets and smartphones

We can also develop any type of web page or mini-site, with several pages and navigation, for example for several streaming rooms or several languages.

Learn more: Dedicated streaming platform

25How can access to the stream be restricted to authorised participants?

You choose the access mode according to how confidential your event is. On our OxygenEvent (oxygenevent.fr) platform, four modes are available, only one being active at a time:

  • Simple form: you choose the fields (surname, first name, company, e-mail); the participant accepts the use of their data, then joins the live stream
  • Registration: the participant receives a confirmation e-mail with the date of the event and their access: a personal link, or a username and password (with “forgotten password”)
  • Invitations: to restrict access to specific people: you paste your list of e-mail addresses, each guest receives a unique link, with a generated password if you wish, and you can export the links to an Excel file
  • Direct access: no form: the participant goes straight to the live stream, and can choose a nickname

Additional restrictions can be added according to your needs: by session, group, language or profile, limited access time, geoblocking, private servers.

In every case, each access is personal and works on only one device at a time, which limits link sharing. Passwords are never stored in plain text, and participants’ consent is obtained before any data is collected.

Learn more: Dedicated streaming platform

26Can you offer chat, Q&A, polls or live votes?

Yes, your audience can take part without leaving the live page.

  • Chat: open or moderated
  • Q&A: the participant asks their question (anonymously if you allow it), it can be approved before publication, then the team replies. The host can read the questions in large type on their tablet and tick those they have dealt with
  • Polls, quizzes and live votes: the question appears over the video, even in full screen, with a single or multiple choice. You open and close the vote when you wish, and results can be followed in real time
  • Satisfaction feedback: a questionnaire at the end of the live stream (stars, score from 0 to 10, choices or free comment)
  • Documents and action buttons: programme and presentations to download, with download tracking, and buttons for registration, booking a meeting or an external link

Vote results can also be shown in full screen in the live production, and exported to build your report.

Learn more: Dedicated streaming platform

27Can we get connection and engagement statistics?

Yes, depending on the features enabled. We track:

  • Audience: connections and audience peaks
  • Attention: average viewing time
  • Engagement: messages, questions, poll answers, clicks

All this data is linked together, because we do not use separate modules: everything communicates within the same platform.

Each statistic is tied to the participant’s e-mail address when they identify themselves (registration, invitation): you know who connected, how long they stayed and how they took part. Participants’ consent is obtained before any data is collected, in line with the GDPR, and they can at any time view, edit or delete their data.

Reports can be exported to Excel or CSV.

Hybrid, multi-site and multilingual events 7 questions

28Can speakers connected on Teams, Zoom or Webex be brought into a live broadcast?

Yes, whichever video conferencing solution you use. We bring in remote speakers via Teams, Zoom, Webex, vMix Call, WebRTC or VDO.Ninja, then blend them with the cameras, materials and contributions from the room.

Thanks to a screen template designed with you, the people on site and the remote speakers appear together, in a single multi-window screen.

A separate audio mix and synchronised picture and sound allow smooth exchanges between the room and remote participants.

Learn more: Professional live streamingAdditional services

29Can several cities or several rooms be linked in a single live broadcast?

Yes. A duplex connects two sites; a multiplex brings several venues or groups of speakers together in a single programme.

Audio and video feeds are coordinated in a common production, with a dedicated layout: each site or each person has their place on screen, in a template designed with you.

For example, we produced multiplexes between France, Germany, Sweden and the United States for Schneider Electric.

30Do you offer simultaneous interpreting for international conferences?

Yes. We bring in interpreters, on site or remote, and provide several audio channels, for participants in the room and online. The set-up depends on the languages, the number of speakers and the listening needs.

Learn more: Additional services

31Can subtitles or live transcription be added?

Yes. Depending on the event, we provide live subtitling, transcription or live stenotype captioning. Subtitles can appear on the web page, in the video player or be burned into the picture, depending on the solution chosen.

Learn more: Additional services

32Can each viewer choose their language during the stream?

Yes, when the multilingual set-up is planned.

  • Where: in the video player, depending on the server used, or on the web page
  • How: several audio tracks or video feeds, with a translated interface if needed
  • When: viewers choose their language on arrival, and can switch at any time during the live broadcast

It suits international congresses, multi-country events and international groups.

Learn more: Dedicated streaming platform

33Can you stream from an unusual venue, outdoors or on tour?

Yes, we work in temporary, remote or hard-to-equip venues.

  • Tours: roadshows and touring conferences
  • Equipment: mobile control rooms, temporary connections and backup solutions, configured according to the venue, the power supply and network coverage
  • Constraints: our teams can also work with no view of the stage, in a closed or cramped room

Learn more: Additional services

34Do you have a studio?

We closed our studio in 2024, and have worked with partner studios since. We have preferred contacts with fellow professionals we are used to working with, and we choose the studio best suited to your event.

We can also come to you directly, in a company, a hotel or a conference centre, and set up a studio in the venue of your choice:

  • Television set: scenery and lighting to host your event like a TV programme
  • Virtual studio: green screen, graphic packages and overlays

Replay, recording and video content 5 questions

35Can the event be recorded as well as streamed live?

Yes. We record the event in parallel with the stream, in several ways:

  • The live production: the programme exactly as your viewers see it
  • Each camera: a separate recording of each feed, independent of the live production
  • The streaming server: a recording directly on the server, depending on the one used

Depending on the set-up, we make several recordings, notably locally and in the cloud, to protect your content. They are then used to produce your replay (see the next question).

Learn more: Live directing

36Can the replay be put online after the live broadcast, with restricted access?

Yes. Once the live broadcast is over, the replay can be put online quickly, according to the agreed arrangements, on a dedicated platform.

  • Access: public, private or temporary, with an availability period suited to your project
  • Chaptering: content is divided into chapters and sorted by session, day, theme or speaker

The replay is produced from the recordings of the event (see the previous question).

Learn more: Dedicated streaming platform

37Do you produce edited videos, aftermovies and clips for social networks?

Yes, from the footage of the event.

  • Content: aftermovies, best-ofs and teasers
  • Replays: cut by session, with subtitles and multilingual versions if needed
  • Formats: adapted to the use: internal communication, website, LinkedIn, YouTube or other networks

For elaborate edits, we generally entrust post-production to specialist video production providers we work with regularly.

Learn more: Live directing

38Can video clips be created and shared while the event is still live?

Yes, thanks to real-time clipping. We can isolate an announcement, a quotation or a highlight during the broadcast and prepare a clip ready to be published on social networks or shared with your teams. The set-up is prepared in advance to define the formats and the approval process.

Learn more: Live directingDedicated streaming platform

39What will I receive at the end of the event?

You receive the video of your event, with or without an online replay.

  • The live production video: the programme as it was broadcast, handed over to you at the end
  • Footage from each camera: on request, we can also give you the recording of each camera separately
  • The online replay: optional, put online on the streaming platform (see the previous question)
  • Delivery: on a USB stick or hard drive a few minutes after the end of the live broadcast, or as an Internet download within 24 to 48 hours

This footage belongs to you.

Pricing and quotes 2 questions

40How much does professional video production or streaming cost?

The price depends on the human and technical resources required, the services you want and the equipment already available on site. Several elements go into the calculation:

  • The technical team: director and assistants, camera operators, sound and lighting technicians, and additional technicians for languages, remote speakers or subtitling…
  • Equipment: cameras, size of the control room and number of computers (PowerPoint, PDF or Keynote presentations, with a remote control to advance the slides), not forgetting those for videos, subtitling… If the venue does not provide them, all the sound equipment (microphones, audio mixing desk), lighting equipment (spotlights, lighting desk) and connectivity (temporary Internet connections that we can deploy) is added
  • The platform: replay, interactivity (voting module, Q&A module, etc.)
  • Time and travel: duration of the event, of installation or rehearsals the day before, but also travel, parking and other living costs of the teams (accommodation, meals)

We prepare a tailor-made quote, adapted to your event, to the equipment already available on site and to the services already entrusted to other providers.
